Job Description

Cynthia Hurley French Wines is an importer of high-quality independent-winemaker French and Spanish wines. We seek an Office Manager for our headquarters office in Waltham Massachusetts

We are importers of French and Spanish wine and distribute in 12 states. We import a high quality portfolio of some of the best independent French growers in all regions including the Rhone, Champagne, Burgundy, Loire, Bordeaux, South West and Languedoc-Roussillon regions. These estates are generally well known and highly reviewed with strong reputations.

Successful candidates will have a minimum of 3 years experience working as an office or assistant office manager for a fine wine distributor. This is a hands on job with a variety of tasks. It requires flexibility, good problem solving skills and dedication to timely, accurate work.

Below is a list of some of the tasks and responsibilities that are included in this job's scope, with the core job responsibilities listed first:

ORDER MANAGEMENT & CUSTOMER SERVICES
-Input emailed/phoned customer orders into the computer database form
-Contact customers to resolve issues with orders
-Place orders for shipment from our warehouse
-Create invoices for orders shipped to our customers
Following up to resolve customer's questions, order changes and resolution of customer issues
Managing inventory reporting and variances

CREATION AND PLACENENT OF WINERY PURCHASE ORDERS

OFFICE ADMINISTRATION
-Managing high level computer issues, telephones, printers networking
-Copying, filing, typing, scanning, document tracking, and additional duties as required.

GOVERNMENT COMPLIANCE
-Obtain Certificates of Label Approval for new products
-Register Brands with State Departments of ABC
State price posting in several states

REQUIREMENTS AND QUALIFICATIONS
-College Graduate
-Ability to work 8 hours a day in our office (Monday through Friday) for a total of 40 hours per week
-Perfect written and spoken English
-A demonstrated commitment to high quality in all aspects of work
-Excellent Macintosh computer skills including proficiency with Excel
-Excellence in phone and email-based Customer Service
-Cordial and polite phone manners
-Be comfortable using computer databases (familiarity with FileMaker is a big plus)
-Experience with SevenFifty wine price posting administration is a plus
-Interest in Fine Wine a plus, but knowledge of French Wine is not required
