Job Purpose

The purpose of this role is to ensure smooth and efficient operations within the office by performing key administrative and customer service functions. This position is responsible for managing participant check-ins and check-outs, handling receptionist tasks including answering phone calls and managing appointment schedules. The role also involves communicating effectively with the interdisciplinary team (IDT) and delivering exceptional customer service to both internal and external clients. Additionally, the role includes accurate data entry to support overall organizational efficiency and client satisfaction. By excelling in these responsibilities, this position contributes to a positive and organized work environment.

Duties and Responsibilities

  • Perform receptionist duties such as answering phone calls, ordering office supplies, manage front desk, etc.
  • Manage and maintain a clean reception area and ensure participant’s safety by monitoring the front door.
  • Schedule appointments and collaborate with day center staff.
  • Complete data entry support as assigned.
  • Check-in and Check-out participants daily.
  • Assist in preparation for any onsite events/meetings.
  • Assist in helping to contact participants and their family members as assigned.
  • Provide excellence customer services to internal and external customers.
  • Performs related duties as assigned.

Qualifications

Education:

  • High school diploma or general education degree (GED) or equivalent work experiences required.
  • Previous experience in health care office environment preferred.
  • Current BLS/First Aide preferred.

Experience :

  • Previous experience in health care office environment preferred.

Skills and Knowledge :

  • Effective written and oral communication skills.
  • Demonstrated ability to problem solve and apply good judgment.
  • Ability to function well independently.
  • Ability to use or be trained in computer skills for the workplace.
  • Demonstrates necessary skills and knowledge as outlined in attached position-specific Competency Assessment Profile.
  • Able to speak Cantonese/Mandarin is a plus but not required.

  • Requires physical strength to perform the job.

Physical Demands

  • Must be able to remain in a stationary position 50% of the time.
  • Ability to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Able to operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Able to constantly position yourself to maintain files in file cabinets such as reaching with hands and arms, kneeling, crouching, etc.
  • The ability to communicate, detect, converse with, discern, convey, express oneself, and exchange information is crucial for this role.
